Planning an event can be incredibly fun… or wildly stressful 😅
Whether it’s a birthday, backyard BBQ, first birthday, camping weekend, or full-scale festival, the difference between chaos and magic usually comes down to a few key things.
After years of photographing (and attending) all kinds of events, here are my top 5 practical tips to help your event run smoothly — and actually be enjoyed by everyone involved.

1. Timing Is Everything
The earlier you start planning, the better.
Ask yourself:
How far away is the event?
Is it a casual gathering or something time-sensitive?
Does it involve vendors, venues, or travel?
A first birthday has very different timing needs compared to a camping festival or a milestone celebration. The more complex the event, the more lead time you’ll need — especially if you want good suppliers (and not just whoever’s left) some events start planing at least a year and up to 5 years!.
2. Set Clear Expectations
This is a big one — and often overlooked.
Be clear about what kind of event it actually is:
Birthday BBQ?
Sit-down dinner?
Camping weekend?
Festival-style party?
First birthday with family?
Each type of event comes with totally different expectations around timing, dress, energy levels, food, kids, noise, and structure. When guests know what they’re walking into and how its gona flow, everyone relaxes — including you.
3. Be Honest About Your Budget (Hard, but Necessary)
Budget conversations are uncomfortable — but essential.
Be clear and concise about what you can spend when talking to suppliers. It actually helps them help you.
Good vendors might:
Suggest a shorter booking
Recommend a student or emerging creative
Offer alternative options you hadn’t considered
If you’re totally stuck budget-wise, honesty opens doors. Vague budgets just waste everyone’s time please be straight up!.
4. Organise Everything in a Spreadsheet
Yes, it’s boring. Yes, it works.
A simple spreadsheet can:
Keep all contact details in one place
Be shared with key people
Map out a timeline for the day
Track payments, arrivals, and responsibilities
When things get busy (and they will), having everything laid out clearly saves your brain and prevents last-minute panic.
5. Document It Properly
This one’s close to my heart 📸
iPhones are great for quick (blurry) snaps — but they’re terrible for documenting an event properly.
Your guests want to:
Enjoy the party
Chat, dance, eat, drink
Maybe grab a few quick snaps
What they don’t want to do is dedicate hours to capturing moments consistently, thoughtfully, and beautifully.
That’s where professional documentation matters. It means:
You stay present
Your guests stay present
The story of the day is actually captured
You can relive it later — properly.
